Northwestern State university seeks qualified applicants for the position of University Records Analyst Coordinator. The primary duties of this University Records Analyst Coordinator position is to coordinate, perform, and maintain the operational functions at the front desk and reception area of the University Registrar's Office; monitor and distribute office email; the daily login to the analog telephone system to receive and return calls; data entry of address change request and student information release authorization forms; processing special examination registration; receiving and logging in academic transcripts received from the Admissions Office; and the validation of entry of transfer credits.

Minimum Qualifications

 

  • Experience with student academic services in a University Registrar's Office setting preferred.
  • Working knowledge of University academic policies, Registrar's Office procedures, and the Banner 9 Student modules preferred.
  • Excellent communication, problem solving, and decision-making skills; commitment to institutional academic integrity.
  • Strong customer service skills; ability to develop and maintain effective collaborative working relationships with others.

 

Job Concepts

 

  • Coordinating, performing, and maintaining operational functions at the front desk and reception area of the University Registrar's Office including assisting students in reference to academic issues and regulations; transferred credits, final grades, transcript requests, online registration, enrollment and degree verification, dropping/adding classes, credit by examinations, resignations and cancellation of classes, and various appeal processes. Daily logins to the analog telephone system to receive and return calls; routing to appropriate person if calls cannot be answered and resolved at the front desk
  • Processing and mailing Letters of Academic Good Standing, Good Student Discount forms, verification of enrollment, and verification of degrees
  • Maintaining, processing, and charging students' accounts for special exam fees for all part-of-terms
  • Validating processed Special Exam cards for all part-of-terms
  • Opening, date stamping, sorting, and routing of mail from USPS for Registrar's Office
  • Opening, stamping, sorting, and routing of documents received at the front desk and via front desk fax machine
  • Monitor and distribute Registrar's Office email
  • Processing address changes and placing registration holds for all returned mail with an insufficient address
  • Verifying processed address changes
  • Coordination and maintaining the file of requests for enrollment in a Community College while on suspension at NSU
  • Validating the data entry of transferred credits, Credit Connection, ACT/SAT, and Advance Placements for accuracy of courses/GP A/and hours, etc.
  • Acquisition of official transcripts from Admissions, date stamping, logging in as received and routing to evaluators
  • Assisting faculty members (as needed) in entering grades via the NSUConnect system
  • Coordinating and processing requests of students for removal of grades of "W" and "AU"
  • and changing back to credit; registration and dropping courses with a grade of "W" and
  • Audits
  • Candidate Checkout: validating asterisks for the honor roll, diploma order, and
  • commencement program for Bachelor and Associate degrees as assigned; and mailing of
  • diplomas and transcripts as needed
  • Responsible for helping students with self-service computers
  • Coordinating, maintaining, and data entry of Student Information Release Authorization forms
  • Data entry of Request to Prevent Disclosure of Directory Information, and processing
  • request to revoke a request
  • CTEP Programs eligibility determination and management
  • Commencement/End of semester processes
  • Other duties as assigned
